Outdoor Program and Property Administrator: This role is responsible for: property reservations for all groups; coordination of Outdoor Programs and Property reservation databases; and providing the Outdoor Program and Property department with administrative, data reporting, financial, and insurance support for outdoor and property programs.

**This is a remote position; however, occasional travel for statewide meetings or to visit camp locations will be required.

ESSENTIAL DUTIES/RESPONSIBILITIES:

Outdoor Program Registration and Property Reservation Administration

Lead CampMinder system administration for Overnight, Day, Troop, Family, and Outdoor Adventure Club (OAC) Camps including:

  • Building out all camp sessions in all registration systems.
  • Creating and containing all financial information to each session including deposits, full balance, potential discounts, and financial line items.
  • Leading annual review of registration system as well as constrain and maintain all camp forms.
  • Managing the enrollment data process, including tracking and issuing enrollment reports, reviewing enrollment, and adjusting enrollment numbers as camp needs shift.
  • Assisting in Camp Grant and Scholarship approval processes as well as maintaining backend application for campers in all registration systems.
  • Leading end of year financial closeout.
  • Leading system issue troubleshooting.
  • Other duties as needed, along with the Customer Experience and Registration Manager.
  • Lead CheckFront property management system administration include:
    1. Maintaining all inventory and bookings.
    2. Adding activities and food service to property reservations as needed.
  • Support property bookings for GSCO staff and outside users, including payments, insurance, non-profit identification, reservation transfers, and other requests.
  • Oversee Welcome Letter process in collaboration with Outdoor Program and Property Staff.
  • Monitoring general web design and customer information.
  • Managing general settings and system troubleshooting.
  • Work with finance on regular, scheduled financial reporting processes.
  • Manage enrollment data including rosters, reports, calendars, financial information, insurance records, and correspondence as required for all camps and property bookings.
  • Manage council insurance, secure additional insurance for troop/staff-led events and trips, process and/or renew Certificates of Insurance, manage liability claims, and assist in auto insurance claims.

Department-Wide Systems Management

  • Lead administrative support and training in for database/computer systems: Salesforce, Checkfront, Formstack, CampMinder, CampDoc, and GoLive procedures.
  • Create and maintain the Standard Operating Procedures for all Outdoor Program, Property, Insurance, and Camp Registration specific database processes, with regular evaluation of processes and edits as needed.
  • Coordinate the evaluation and data collection process for outdoor programs and the reservation process, collaborating with the Chief Outdoor Program and Property Officer and Customer Experience and Registration Manager to suggest revisions and improvements.
  • Collaborate with the Chief Outdoor Program and Property Officer and Chief Risk Management and Process Improvement Officer to write and maintain property rental policies and procedures.

Customer Service and Collaboration

  • Provide exceptional internal and external customer service to volunteers, staff, community partners, and outside user groups when sharing information about reservation processes, availability, and safety management, while supporting customer feedback and communications with the Outdoor Program Team.
  • Interact with staff and volunteers and build relationships with community partners and user groups to provide information regarding reservation processes, availability, and safety management on council property.
  • Manage communication and published materials communication in collaboration with the Marketing and Communications department, include website updates, promotional materials, and registration materials.
  • Other duties as assigned.

PRIMARY CROSS-FUNCTIONAL RESPONSIBILITIES:

  • Collaborate with statewide leadership team to develop unified direction and guidance in the formulation, integration and implementation of long and short term goals, objectives, and action plans.
  • Work closely with and ensure effective communication with other teams and departments.
  • Support the efforts and commitments of Girl Scouts of Colorado in the area of pluralism and diversity throughout the organization.

JOB QUALIFICATIONS:

KNOWLEDGE, SKILL AND ABILITY

  • Strong organizational skills for handling large quantities of written data in either paper or electronic format.
  • Basic mathematical skills for totaling and reconciling monies and statistical data.
  • Keyboard and data input skills.
  • Excellent written and verbal communication skills, especially telephone and email communication skills.
  • Excellent customer service skills.
  • Filing and clerical skills.
  • Ability to embrace diversity and inclusiveness by contributing to positive relationships between diverse racial, ethnic, and social groups in the Council as a whole and between employees and volunteers.
  • Ability to work successfully in a team environment.
  • Ability to maintain confidential information.
  • Ability to prioritize, communicate with vendors and other outside organizations as needed,
  • Knowledge of Girl Scout program desired.
  • Knowledge of Girl Scout properties desired.
  • Proficiency with Microsoft Office Suite.
  • Must pass a criminal background check.

EDUCATIONAL OR FORMAL TRAINING

  • High school graduate or equivalent with basic mathematics and writing course work.

EXPERIENCE

  • Minimum of two years experience with PCs, including Microsoft Word and Excel required.
  • Minimum of two years experience working in database programs including: data input, using queries, and ordering reports highly desired.
  • Minimum of one year experience in customer service activity preferred.
  • Minimum of two years experience working with diverse populations of staff and volunteers.
  • Demonstrated experience in customer relationship management systems preferred.

MATERIAL AND EQUIPMENT DIRECTLY USED

  • Computer and related software, telephone, e-mail, fax machines, copiers and equipment commonly found in an office environment.

WORKING ENVIRONMENT/PHYSICAL ACTIVITIES

  • Variable working schedule including some evenings, weekends and occasional overtime.
  • Ability to perform filing functions.
  • Ability to communicate effectively with employees, volunteers, customers and vendors.
  • Access to transportation with insurance at required state levels to conduct business statewide.
  • Valid driver’s license and driving record acceptable to the Girl Scout insurance company.
  • Ability to work remotely while adhering to GSCO hours of operations.

Salary:

  • This position pays a range of $23.08-$24.76 hourly
